Payment & Cancellation Policies
PAYMENT POLICY FOR CONFERENCE ATTENDEES
Conference registrations must be paid in full by 8:00am on February 26, 2026. If payment is not made in full by the deadline, admission to the conference will not be granted. Please see our cancelation policy below.

A registration is considered paid in full when the counselor is 1) registered online and 2) has submitted one of the following payment types:
  • credit card payment
  • check
  • purchase order (PO).

The deadline to register is February 20, 2026 at 11:59 pm.




HOW TO PAY
  • POs can be uploaded via the registration form or emailed to conference@wvschoolcounselor.org.
  • Credit card payments can be made at the time of registration.
  • If you originally registered to pay by check or PO and want to submit a credit card payment instead, log into our website and click on Your Profile > Registrations > 2026 WVSCA Conference. From there, you can click "Continue" to add a credit card for payment.

CANCELATION POLICY FOR CONFERENCE ATTENDEES
WVSCA considers a counselor registered when the counselor has registered online, and they have submitted a check, credit card, or PO for payment of their registration.

Cancelations for Credit Card Payments
Cancelations for registrations purchased by credit card are accepted up to 5:00pm on February 20, 2026. The counselor will be refunded the cost of the registration, less a $50.00 cancelation fee.

Cancelations for Purchase Order Payments
Cancelations for registrations with a purchase order are accepted up to 5:00pm on February 20, 2026 as long as WVSCA has not received a check payment for the purchase order (see below). If payment has not been made by check, the registration will be canceled without penalty.

Cancelations for Check Payments
There are no cancelations or refunds for payments made by check. These registrations can be transferred to another name.





REGISTRATION TRANSFER POLICIES
Registrations may be transferred to another individual by contacting conference@wvschoolcounselor.org. Transfers must be requested by 5:00pm on February 20, 2026.




PAYMENT POLICY FOR SPONSORS AND EXHIBITORS

All sponsorships and exhibit tables must be paid in full by 8am on Thursday, February 26. Admission to the conference will not be granted until payment is received. Sponsor and exhibitor registrations made after January 30 must be paid in full at the time of registration (credit card payment only).




CANCELATION POLICY FOR SPONSORS AND EXHIBITORS
There are no cancelations or refunds for any sponsorships, exhibit spaces, or advertisements associated with the conference once the sponsor/exhibitor/advertiser has submitted the registration.
CEUs are available for conference attendees.
